We are dedicated to protecting your personal data and processing it with respect and in accordance with applicable data protection legislation, including the EU's General Data Protection Regulation (GDPR).

Two roles, one clear distinction: Plans acts as both a data processor for professional users (e.g., building surveyors) who use our software to create reports, and as a data controller for you as a building owner if you give us consent to provide additional services, such as obtaining quotes from tradespeople. This policy only covers the situations where we are the data controller.

Your consent is key: We only use your property data for new purposes (like connecting you with tradespeople) if you actively and explicitly give us permission.

You have full control: You can easily withdraw your consent at any time via your profile settings on our platform. You also have the right to access, correct, and delete your data.

Data security is our priority: We have implemented strong technical and organizational measures to protect your information.


1. Data Controller


Plans' role as Data Controller:

Plans is the data controller for the processing of personal data in the following situations:

Building Owners:
  • When you, as a building owner, directly create a user profile on Plans' platform and provide us with information.

  • When you, as a building owner, give us your explicit consent to collect and reuse information about your property for new purposes, which was originally collected by Professional Users.

Professional Users:
  • When a professional user (e.g., a building surveyor, real estate agent, appraiser, tradesperson, etc.) uses Plans' platform, Plans is the data controller for the processing of personal data about the Professional User themselves (e.g., contact information, user profile).

Professional Users' role as Data Controller and Plans' role as Data Processor:

When a Professional User uses Plans' platform to collect data about your property to deliver a service to you (e.g., a condition report or an energy certificate), the Professional User's company acts as the data controller.

In this situation, Plans acts as a data processor on the instruction of the Professional User, regulated by a separate data processing agreement.

This privacy policy focuses exclusively on Plans' role as a data controller. For information on how the Professional User processes your data, please refer to their own privacy policy.


2. How we collect your information


We collect information about you in the following ways:

  • Information you provide directly to us: For example, when you create a user profile, enter your contact details to receive offers, contact our support, or consent to specific services on Plans' platform.

  • Information collected by Professional Users, which you consent for Plans to reuse: With your explicit consent, Plans can access and reuse relevant information about your property. This information is originally collected by a Professional User using Plans' application. The Professional User is the data controller for the original collection.

  • Technical information: When you use Plans' platform, we may automatically collect certain technical information (e.g., IP address, browser type, device information) to ensure the platform's functionality and security.


3. What information we collect and process (When Plans is the Data Controller)


This privacy policy, and the categories of information below, apply exclusively to the processing activities where we act as the data controller.

This occurs when you, as a building owner, have given us your explicit consent to reuse information about your property for the purpose of providing additional services to you, such as obtaining quotes for renovation tasks.

Thus, the policy does not cover the initial data collection carried out by a Professional User (e.g., an energy consultant) for the purpose of preparing a report (e.g., an energy certificate). For that processing, the Professional User is the data controller, and Plans acts as the data processor. For information about this processing, please refer to the Professional User's own privacy policy.

About the building owner:
  • Name

  • Contact information (e.g., email address, phone number)

  • Address

About properties associated with the building owner (after consent):
  • Property identification: Address and land registry number.

  • Property characteristics: Information about the property's type, age, size, room distribution, and building materials.

  • Property condition: Details on maintenance status, damages, and potential problem areas, including photographs and notes.

  • Energy efficiency: Information on energy consumption, insulation, heating sources, and energy certificate data.

  • Measurements and scans: Potentially measurements, 3D scans, and Lidar data.

About Professional Users:
  • Name and contact information

  • GPS tracking (while performing tasks via the app)

  • Company and position


4. Purpose and legal basis for processing your information


We process your personal data for clearly defined purposes and only when we have a lawful basis.

Purpose of processing

Legal basis (GDPR)

To create and manage your user profile on Plans' platform

Necessary to fulfill the agreement we have entered into with you to provide the platform's features (Article 6(1)(b)).

To reuse your property data to present you with and obtain offers from third-party tradespeople

Your explicit and voluntary consent (Article 6(1)(a))

To improve and develop Plans' platform using anonymized and aggregated data

Our legitimate interest in improving our service, without overriding your rights (Article 6(1)(f))

To provide support and respond to your inquiries

Necessary to fulfill our agreement with you or our legitimate interest in providing good service (Article 6(1)(b) or (f))


5. Recipients or categories of recipients of your information


We only share your personal data when it is necessary and lawful. This typically only happens following your active action or with your consent:

  • Service providers: If you choose to obtain a quote, we will share relevant information about the task (e.g., measurements, pictures) with the service providers (e.g., tradespeople, energy consultants) you specifically select. You have full control over what information is shared.

  • Data processors: We use third-party vendors (data processors) for services such as hosting our platform. These act solely on our instructions and are contractually obligated to protect your information.

  • Public authorities: We may disclose your information if required by law or a court order.


6. Transfer of information to countries outside the EU/EEA


We strive to process and store your data within the EU/EEA. If, in special cases, we transfer data to countries outside this area, it will only be done with a valid legal basis for the transfer (e.g., the European Commission's standard contractual clauses), and we will inform you separately about this.


7. Storage of your information


We do not store your personal data for longer than necessary.

  • User profile: Information linked to your user profile is stored as long as you have an active account. An account is considered inactive and will be marked for deletion if you have not logged in for a period of 24 months.

  • Consent-based data: Data that we process based on your consent (e.g., to receive offers) will be deleted if you withdraw your consent or delete your user account.

  • Data upon property sale: If you sell your property and delete your account, or otherwise notify us of the sale, the personal data we process about you and your former property based on your consent will be deleted from our marketplace platform. Note that the Professional User (e.g., the energy consultant) may be legally required to store the original report for a longer period (e.g., 10 years for energy certificates).

  • Anonymized data: Anonymized data may be stored for a longer period for statistical and analytical purposes.


8. Your rights as a data subject


You have a number of rights under the GDPR:

  • Right of access: You have the right to access the information we process about you.

  • Right to rectification: You have the right to have incorrect information about you corrected.

  • Right to erasure ("the right to be forgotten"): You have the right to have your information deleted, unless we are legally obligated to store it.

  • Right to restriction of processing: You can request that we restrict the processing of your information.

  • Right to object: You can object to our otherwise lawful processing of your information.

  • Right to data portability: You have the right to receive your data in a structured and machine-readable format.

9. Withdrawal of consent


Where our processing of your information is based on your consent, this is voluntary and can be withdrawn at any time. You can withdraw your consent at any time with immediate effect for future processing.

The easiest way to do this is by logging into your account on the Plans platform, navigating to your profile page or the 'Settings' section, and unchecking the consent box.

If you withdraw your consent, we will stop processing the affected personal data for the purpose covered by the consent. This does not affect the lawfulness of the processing carried out before the withdrawal.


10. Security


We take the security of your personal data seriously and have implemented appropriate technical and organizational security measures to protect your information from unauthorized access and misuse.

If you are dissatisfied with our processing of your personal data, we encourage you to contact us first. You also have the right to file a complaint with the Danish Data Protection Agency (Datatilsynet).
